How to apply to Erasmus+

General information about the Erasmus+ programme

  1. Within the Erasmus+ programme, it is possible to study at a foreign university for one to two semesters. Students have the opportunity to receive a stipend from the Erasmus+ programme (EU grant), which serves as a financial contribution towards travel and stay cost during your stay abroad
  2. You can only travel to universities, with which we have a contract. In case you’re interested (and you let us know enough in advance), we’ll try to close a new contract. However, the foreign university doesn’t always accept our contract proposal.

Procedures before departure and recognition of courses completed abroad within the Erasmus+ programme

Before leaving:

  1. All information about foreign mobility can be found at the www.studujvesvete.cvut.cz website. Students pick a university from the list in the Mobility app.

The choice of university is best consulted with a thesis supervisor, department head, study programme guarantor, or the department Erasmus coordinator. Administrative steps connected to the mobility are solved with the faculty coordinator.
  2. General questions about course recognitions can be consulted with the departemt’s Erasmus guarantor, or with the Vice-Dean for Student Affairs, the Vice-Dean for Foreign and Internal Affairs, or with the Vice-Dean for Science and Research (if the student in question is enrolled in a doctoral programme).
  3. Student submits their application. The first round of submissions is during autumn each year. The precise deadline is announced by the CTU Rectorate and is published on the CTU website.
    Second round of submissions is usually in March. In case of free capacities, there is a third round in June. In the second and third round, it is possible to apply only for mobilities in the summer semester of the following academic year. 
  4. Applications are filed electronically and are verified by FNSPE Vice-Dean for Student Affairs. The criterium for application verification is primarily the students grade average (it shouldn’t be higher than 2,3) and also the number of courses the student enrolled in for the second times (meaning they failed their first attempt) and have yet to complete them.

    A part of the application is a list of (up to) three preferred universities in Europe and/or (up to) three preferred universities outside of Europe.

  5. All students who applied go through an admissions procedure and have to demonstrate sufficient level of language skills. These can be verified by a valid international language certificate, a test, which the student will complete at the Department of Humanities and Lanuguages of FNSPE, or they can get their AP exam result recognised (only A or B results). If the student is picked and successfully passes the language test, they follow the steps of the CTU International Office.
  6. If the student fulfills all conditions, they are “internally nominated” to the foreign university by their faculty coordinator. If more students than the contract allows are interested in the same university, students with better study results and better language test results are picked. In the second and third round, only unfilled spots are offered to the students. Students can reject the internal nomination and not leave at all, or they can be nominated by the faculty coordinator to a different university according to capacity possibilities. The faculty coordinator opens a “mobility card” for the student in the Mobility app, where the student gradually imports all important documents.
  7. The moments the student compiles the “comparison sheet” (more info lower), the faculty coordinator nominates them to the relevant university within the relevant timeframe, which is different for all universities.
  8. Student prepares base documents for the so-called "comparison sheet", whose content they will discuss in detail with their department’s Erasmus coordinator. In the comparison sheet, it is necessary to pair selected compulsory courses from the foreign university’s offer with courses taught at FNSPE based on their content similarity, which should be as high as possible. However, complete sameness isn’t necessary. The verified comparison sheet (with all items signes – more below) will be submitted by the student (ideally electronically) to FNSPE Student Affairs. They will ensure its verification by the Vice-Dean for Student Affairs. After the verifivation of the comparison sheet, the student will electronically fill the so-called "Learning Agreement" (study plan), which is then also verified electronically.
  9. Conditions for verification of the comparison sheet (and Learning Agreement):
    1. The total sum of ECTS credits for enrolled courses in one semester has to be at least 20;
    2. the total sum for specialsed subjects has to be at least 13 ECTS credits;
    3. for the verification process, the student will submit annotations for all courses from the foreign university, which they intend to complete;
    4. it is highly suggested (though not completely necessary) to have at least one compulsory or compulsory elective course in the student’s study plan;
    5. the definite composition of foreign subjects included in the comparison sheet is decided by the Erasmus-quarantor of the students home department, meaning the department, under whose competency falls the student’s study programme;
    6. In the comparison sheet, all faculty courses (meaning courses from the FNSPE White Book) which the student intents to get recognised upon arrival, have to be signed either by the Erasmus referent of the home department, or the Erasmus referent of a different department – see verification manual.
    7. Course signatures, whose codes will be created specially as equivalents for foreign courses (see also below), will be provided by the Vice-Dean for Student Affairs, who will also decide on the number of ETCS credits given to the student upon arrival in accordance to the department referent’s proposal;
    8. a maximum of 7 credits can be recognised for language/s or for economic/humanities courses;
    9. final verification of the complete comparison sheet (with special created codes for foreign course equivalents added) is completed by the Vice-Dean for Student Affairs.
  10. Conditions for enrolling in the so-called “Project”
    1. Project represents an alternative to one of the following courses: BP1, BP2, VU1, VU2, DP1, DP2, which are marked as compulsory in all students’ study plans. Students can use it, if they are travelling abroad primarily for preparing their bachelor thesis, research task or master’s thesis. Work on the Project has to be agreed on in advance at the partner university as well as with the thesis supervisor in the Czech Republic.
    2. Project can be included in the comparison sheet (and in the Learnning Agreement form) as one of the compulsory courses, or as the singular subject. As the singular subjects, Project can be submitted only if it’s evaluated by at least 20 credits.
    3. Upon return, Project will be recognised as an alternative to one of the courses cited in point 8 (in accordance with the proposal included in the comparison sheet). Any remaining credits will be recognised via an optional course, which will be inserted into KOS by Student Affairs with a newly created code.
  11. ATTENTION: Before leaving, student must enroll with the FNSPE Student Affairs in the semester in which they are leaving and without courses (If they are leaving for the entire Academic Year, the student will enroll in both semesters.
  12. Procedures before departure

After arriving at the foreign university:

After arriving at the foreign university, the student can make changes in the approved study plan, but they must immediately apply for a change in their comparison sheet and Learning agreement. In case of changes, the student will send the proposed changes in the comparison sheet via email to the department’s Erasmus referent with an explanation of why the change is needed. Upon approval and signing, the student will forward the comparison sheet to the Student Affairs to be approved by the Vice-Dean for Student Affairs. Following this, the student will return to their initially filled Learning Agreement Form, (OLA), where they will fill (copy) information from their new comparison sheet into the “During Mobility” section. After the document has been signed, the student will inform the FNSPE faculty coordinator (Mgr. Věra Šlechtová), who will also sign it, as well as the foreign university. 

The Student will then upload their newly approved comparison sheet and Learning Agreement into their card in the Mobility app into the “During Mobility” section.

Changes to the study plan can only be made in a relatively short period of time at the beginning of the semester; therefore, we recommend dealing with these requirements within the first few days, incidentally, immediately after receiving your course schedule before the beginning of the semester.

Confirmation of Study Period: the student will fill and have it confiermed by the foreign university before returning to the Czech Republic. Confirmation is issued from the first course day (including preparational courses, university social events, and the like) to the last examination (not to the end of the exam period!). Earlier arrival or departure is possible, but cannot be supported financially. The original of the confirmation has to be submitted – ideally in paper form – to the CTU International Office. 

Transcript of Records should be provided by the foreign university before the student's return to the Czech Republic. If the foreign university is unable to provide the Transcript of Records within 14 days from mobility end, CTU International Office has to be immediately notified. 

Learning Agreement has to equal Transcript of Records; therefore, make all changes to courses as fast as possible, so that you have the correct LA. If those documents aren’t equal, the student will not receive confirmation of course recognition, and credits from foreign study; therefore, cannot be recognised.

Recognition of completed courses:

  1. Students will fill out a Request to recognize subject within the Erasmus programme, they will discuss it with their department head and get it signed. Afterwards, they will submit it to their  study referent along with Transcript of Records. The student will fill out credits and evaluations (copied from the transcript) on their own. The decision on course recognition is done by the Vide-Dean for Student Affairs. Student Affairs check everything, and after verification by the Vice-Dean, import the information into KOS. The signed document is sent to the student via email, who will then upload it to their card in the Mobility app.
  2. Courses, which have already been paired (and signed) in the comparison sheet, do not have to be signed on the request form. 
    Only courses without signatures (for example, due to changes to the course during studies or additional recognition), have to be signed anew on the request by the relevant verifier (see point 8 – preparing the comparison sheet). Courses created specially as an equivalent to a foreign course do not need to be additionally signed.
  3. If the student completes exams only for courses valued for less than 20 credits, they have to return a substantial portion of the stipend
  4. In case of premature return (due to an illness, and the like), the student is obliged to immediately contact the Vice-Dean for Student Affairs, and the institutional and faculty Erasmus coordinators (for contatcs, see below)
  5. Students taking part in mobility, who qualify for a merit scholarship, must apply for the scholarship in written form within a time frame set by the relevant regulation.
